Welcome to Mini Playtopia – Luxurious Soft Play Event Hire

By securing a booking or utilizing our services, you are agreeing to comply with and be bound by the following terms and conditions. We ask that you review them thoroughly before finalizing your booking.

1. Bookings and Payments

All bookings are contingent on equipment and date availability. A deposit is mandatory to reserve your booking — no booking is considered confirmed until this deposit has been successfully processed.

Unless an alternative arrangement has been confirmed in writing, the remaining balance must be settled no later than seven (7) days prior to the event date. For bookings made within seven (7) days of the event, full payment is required at the time of booking. We accept payments via Electronic Funds Transfer (EFT) and other pre-approved methods.

Please note that a delivery and collection charge applies to all bookings. This fee is based on your event location and will be communicated to you at the time of your quote. Delivery charges are included in your final invoice and are payable along with your booking balance.

2. Cancellations and Refunds

All cancellation requests must be submitted in writing, either via email or WhatsApp. While deposits are non-refundable, they may be transferable to an alternative date, subject to availability.

No refunds will be provided for cancellations made within seven (7) days of the scheduled event. We do not issue refunds for last-minute cancellations or changes in weather conditions.

3. Weather Policy

Our outdoor setups — including inflatables, bubble houses, and party table and chair arrangements — are weather-dependent. In the event of unsafe weather conditions (such as heavy rain, strong winds, or storms), we reserve the right to postpone the event to a new date based on availability.

While we do not offer refunds due to inclement weather, we are committed to working with you to reschedule your event at the earliest opportunity.

4. Setup and Space Requirements

The client is responsible for ensuring that the event location has adequate space, level ground, and access to a reliable electrical source if required for our equipment. The designated setup area must be clean and free of all hazards — including sharp objects, glass, pet waste, debris, and thorn trees or any trees that may pose a hazard to the equipment — before the Mini Playtopia team arrives.

Please note: No pets are allowed in the setup area during delivery, setup, and the duration of the event.

Please ensure that our team has safe and unobstructed access for delivery and setup, including clear driveways, gates, and pathways.

5. Equipment Safety and Use

All equipment is used at your own risk. Continuous and active adult supervision of all children is required for the entire duration of the event. The client is responsible for ensuring all guests use the equipment safely and as intended.

To maintain the quality and safety of our equipment, the following are strictly prohibited on or inside any of our inflatables and bubble houses:

Food  |  Drinks  |  Shoes  |  Sharp objects  |  Face paint

Please Note: If face paint, food residue, or other stains are found on the equipment, a cleaning or repair surcharge will be applied to the client.

All equipment must be kept a safe distance from open flames, water sprinklers, heaters, or any other heat sources. The client will be held financially responsible for any damage, loss, or theft of equipment resulting from negligence or misuse, billed at the full replacement value.

6. Liability

Mini Playtopia shall not be held liable for any injury, loss, or damage to persons or property that occurs during or after the use of our equipment and services. It is the client's responsibility to ensure that all guests use the equipment in a safe and appropriate manner at all times.

6A. Safety Notice & Indemnity Requirement

Use of all soft play and bounce equipment is entirely at your own risk. Mini Playtopia accepts no liability for any injury, loss, or damage sustained during the use of our equipment. Full safety rules apply at all times, and a signed indemnity form is required from the responsible adult prior to the commencement of all rentals. No equipment will be made available for use until this form has been completed and submitted.

7. Power Supply and Load Shedding

The client must provide a stable and reliable power source for any equipment that requires electricity. Mini Playtopia is not responsible for any interruptions or equipment malfunctions caused by load shedding or other power outages beyond our control.

Important: The use of generators to power any of our inflatable blowers is strictly prohibited. Generators can produce unstable voltage that may cause irreparable damage to the blower motors. Should a blower be damaged as a result of generator use, the client will be held fully responsible and will be required to cover the full replacement cost of the affected equipment. We kindly ask that only a stable mains electricity supply be used at all times.

8. Photography and Marketing

We may take photographs of our event setups for use on our website and social media platforms. If you do not wish for photos of your event to be shared publicly, please inform us in writing before your event date and we will respect your request.

By paying a deposit and confirming a booking with Mini Playtopia, you acknowledge that you have read, fully understood, and agreed to these Terms and Conditions.
